  • Filter and search backlog

    Find issues in your backlog without scrolling endlessly.

    Search the backlog

    1. Click the Search field at the top of the Backlog
    2. Type a keyword or issue ID
    3. Results appear instantly

    Backlog search matches issue titles, descriptions, and IDs.

    Filter by assignee

    1. Click Filters
    2. Select Assignee
    3. Choose one or more team members
    4. Issues in the backlog filter to show only those assigned to selected people

    Filter by team

    1. Click Filters
    2. Select Team
    3. Choose one or more teams
    4. Issues filter to show only those teams

    Filter by priority

    1. Click Filters
    2. Select Priority
    3. Choose Low, Medium, High, or Critical
    4. The backlog shows only selected priorities

    Filter by custom field

    If custom fields are configured:

    1. Click Filters
    2. Select the custom field
    3. Choose a value
    4. Issues filter to show only those with that value

    Combine filters

    You can apply multiple filters at once. For example:

    1. Filter by Assignee = Alice
    2. Filter by Priority = High
    3. The backlog shows only high-priority issues assigned to Alice

    Clear filters

    1. Click Filters
    2. Click Clear All or Reset

    The backlog returns to its unfiltered state.

  • Estimate and prepare work

    Before moving work to active status, estimate it and prepare details.

    Add an estimate

    1. Click an issue in the Backlog
    2. In the detail panel, find Estimate
    3. Select a size: 1, 2, 3, 5, 8, 13 points
    4. Click Save

    Estimates help your team plan sprints and predict completion. Use the Fibonacci scale to indicate complexity and effort.

    Update an estimate

    1. Click the issue
    2. Edit the Estimate field
    3. Click Save

    Your team now sees the updated estimate.

    Clear an estimate

    1. Click the issue
    2. Click the Estimate field
    3. Select No estimate or clear the field
    4. Click Save

    Prepare issue details

    Before assigning, add:

    Assignee — Who will do the work (optional at this stage)

    Description — What needs to be done and why

    Priority — How urgent this is

    Custom fields — Any team-specific metadata

  • Bulk operations and batch edits

    Edit multiple issues at once to save time.

    Select multiple issues

    1. On the Backlog, click the checkbox next to an issue
    2. Click additional checkboxes to select more issues
    3. Or click Select All to select all visible issues

    Selected issues highlight in blue.

    Bulk reassign

    1. Select multiple issues
    2. Click Assign to or Change Assignee
    3. Choose a team member
    4. Click Apply

    All selected issues are now assigned to that person.

    Bulk change priority

    1. Select multiple issues
    2. Click Change Priority
    3. Choose Low, Medium, High, or Critical
    4. Click Apply

    All selected issues now have the new priority.

    Bulk move to team

    1. Select multiple issues
    2. Click Change Team
    3. Select a team
    4. Click Apply

    All selected issues now belong to that team.

    Bulk move to status

    1. Select multiple issues
    2. Click Change Status or Move to
    3. Select a status (In Progress, Done, etc.)
    4. Click Apply

    All selected issues transition to that status.

    Deselect all

    All checkboxes clear

    Click Deselect All or click in an empty area

  • Use the Kanban board

    The Kanban board visualizes work across columns, typically representing workflow stages.

    Access the board

    1. Go to your project
    2. Click the Board tab

    The board displays issues organized in columns by status (Backlog, In Progress, In Review, Done, etc.).

    Understand the board layout

    Columns represent workflow stages. Issues move left to right as they progress.

    Cards represent individual issues. Each card shows:

    • Issue ID and title
    • Assignee avatar
    • Priority badge
    • Estimate (if set)

    View team swimlanes

    Swimlanes group issues by team member.

    1. Click Organize or View Options
    2. Select Group by Assignee or Group by Team

    Issues are now grouped horizontally by person or team.

    Add an issue to the board

    1. Click + Add Issue on any column
    2. Enter a title
    3. Press Enter

    The issue appears at the top of that column.

  • Organize with swimlanes

    Swimlanes group issues horizontally by assignee or team, making it easier to see who is working on what.

    Enable swimlanes

    1. On the Board, click View or Organize
    2. Select Group by Assignee or Group by Team

    The board reorganizes to show swimlanes.

    Issues are grouped under each team member’s name. Unassigned issues appear at the top.

    This view helps you:

    • See each person’s workload at a glance
    • Identify overallocation
    • Spot unassigned work

    • Track blockers by team
    • Identify team dependencies

    Remove swimlanes

    1. Click View or Organize
    2. Select No grouping or Standard view

    The board returns to column-only view.

  • Filter and search board

    Find and focus on the work that matters.

    Search the board

    1. Click the Search icon on the Board
    2. Type a keyword or issue ID
    3. Results appear in real time

    The board highlights matching issues. Boards filters by issue title, description, and ID.

    Filter by status

    1. Click Filters
    2. Select statuses to show or hide
    3. Click Apply

    The board displays only issues in selected statuses.

    Filter by assignee

    1. Click Filters
    2. Select Assignee
    3. Choose one or more team members
    4. Click Apply

    The board shows only issues assigned to selected people.

    Filter by team

    1. Click Filters
    2. Select Team
    3. Choose one or more teams
    4. Click Apply

    The board shows only issues assigned to selected teams.

    Filter by priority

    1. Click Filters
    2. Select Priority
    3. Choose Low, Medium, High, or Critical
    4. Click Apply

    The board shows only issues with selected priority levels.

    Clear all filters

    1. Click Filters
    2. Click Clear All or Reset

    The board returns to its unfiltered state.

  • Drag and drop workflow

    Move issues between columns and reorder them within a column.

    Move an issue to a different column

    1. On the Board, locate the issue card
    2. Drag the card to the target column
    3. Release the mouse

    The issue status updates automatically. For example, dragging to “Done” marks the issue complete.

    Reorder an issue within a column

    1. Drag the issue card up or down within the same column
    2. Release the mouse

    The issue position updates. This is useful for prioritizing issues within a status.

    Drag issues across swimlanes

    If swimlanes are enabled:

    1. Drag an issue from one swimlane to another
    2. Release the mouse

    The issue is reassigned to the person or team in that swimlane.

    Undo changes

    If you move an issue by mistake:

    1. Press Ctrl+Z (or Cmd+Z on Mac)

    The issue returns to its previous state. This works immediately after the drag operation.

    Performance note

    Moves are saved instantly. Refreshing the page shows the updated board state.

  • Use custom fields and properties

    Add custom properties to issues beyond standard fields.

    View custom fields

    When you create or edit an issue, custom fields appear in the detail panel below standard fields.

    Set a custom field value

    1. Click the issue to open it
    2. Scroll to Custom Fields
    3. Click a field
    4. Enter or select a value
    5. Press Enter or click Save

    Field types

    Custom fields can be:

    • Text — Short text
    • Textarea — Long text
    • Single Select — One choice from a list
    • Multi Select — Multiple choices from a list
    • Number — Numeric value
    • Checkbox — True/false toggle
    • Date — Date picker

    Required fields

    Some custom fields may be required. You cannot save an issue without values in required fields.

    Update or clear a value

    1. Click the issue
    2. Click the custom field
    3. Edit or delete the value
    4. Press Enter or click Save

    Filter by custom field

    1. On Backlog or Board, click Filter
    2. Scroll to Custom Fields
    3. Find your field
    4. Select which values to show

    Only issues with matching custom field values appear.

  • Link issues to strategic objectives

    Connect work to company strategy.

    1. Click the issue to open it
    2. Find Linked Themes in the detail panel
    3. Click + Link Theme
    4. Search for a theme (e.g., “Mobile App Launch”)
    5. Click to add the link

    The issue now contributes to that theme’s progress.

    1. Go to Planning
    2. Click a theme to open it
    3. Click + Link Issue
    4. Search for an issue
    5. Click to add the link
    1. Click the issue
    2. Find the linked theme
    3. Click the X next to the theme name
    4. The link is removed

    Filter by objective or theme

    1. On Backlog or Board, click Filter by Objective/Theme
    2. Select an objective
    3. Optionally select a theme
    4. The view shows only matching issues

    Click Clear Filter to see all work again.

    One issue, multiple themes

    An issue can be linked to multiple themes if it contributes to more than one goal.

  • Estimate and plan work

    Estimate effort on issues to plan team capacity.

    Add an estimate

    1. Click the issue to open it
    2. Find the Estimate field (or Story Points)
    3. Enter a number (typically 1, 2, 3, 5, 8, 13)
    4. Press Enter or click Save

    Estimates help your team understand how much work fits in a sprint or quarter.

    Estimate scale

    Update an estimate

    1. Click the issue
    2. Click the estimate number
    3. Enter a new number
    4. Press Enter

    Clear an estimate

    1. Click the issue
    2. Click the estimate number
    3. Delete the value
    4. Press Enter

    View by estimate

    Filter by estimate to see specific-sized issues

    On Backlog or Board, click Filter
